About the Role
We are seeking an exceptionally strong Senior Bookkeeper / Full-Charge Bookkeeper to take ownership of the accounting records across approximately 15 operating locations. This is not a junior or transactional bookkeeping position.
The successful candidate must have the technical accounting knowledge to operate closer to an accountant level while remaining hands-on with the day-to-day bookkeeping function.
The ideal candidate will be capable of independently managing
- General ledger maintenance
- Bank and credit card reconciliations
- Balance-sheet reconciliations
- Accruals and adjusting entries
- Consolidation of financial information
- Intercompany transactions and reconciliations
- Financial statement preparation
The person hired into this role should ultimately become the internal owner of the books.
Ownership should not need to manage the accounting process or act as an intermediary between the bookkeeper and the external CPA. The Senior Bookkeeper should be sufficiently experienced and confident to communicate directly with CBIZ, investigate discrepancies, answer accounting questions, prepare supporting schedules, and make appropriate accounting adjustments.
Key Responsibilities
Full-Cycle & Multi-Entity Accounting
- Take complete ownership of full-cycle bookkeeping across ~15 car wash locations, managing each as a separate entity within individual QuickBooks company files.
- Record, classify, and code all financial transactions accurately across correct entities, accounts, and accounting periods.
- Maintain standardized charts of accounts and consistent accounting policies across all locations.
- Review general ledger activity, investigate anomalies or discrepancies, and maintain supporting documentation for material transactions to ensure all books remain CPA-ready.
Intercompany Balances & Consolidations
- Maintain accurate intercompany (due-to/due-from) balances, recording and reconciling intercompany transactions regularly across operating entities.
- Perform monthly intercompany tie-outs to ensure balances agree across relevant books.
- Support intercompany elimination entries and compile financial data across all locations to support consolidated reporting for the ultimate holding company.
Reconciliations & Cash Control
- Maintain full control of high-volume cash, bank, and credit card reconciliations across all locations on a strict monthly schedule.
- Investigate unreconciled, duplicate, missing, or unusual cash movements, ensuring all bank balances tie out precisely to general ledgers.
- Oversee and perform GL reconciliations for Accounts Payable (AP aging, vendor statements, 1099 support) and Accounts Receivable (AR aging, revenue tie-outs, unapplied cash resolution).
Month-End Close & Financial Reporting
- Lead a disciplined, repeatable month-end close process across all 15 locations using established close checklists and schedules.
- Prepare recurring, adjusting, accrual, and prepaid expense journal entries with a deep understanding of their underlying accounting impact.
- Generate and critically review location-level and consolidated monthly financial statements (P&L, Balance Sheet, Cash Flow support), analyzing variances and reporting unusual trends to leadership.
Payroll Accounting
- Manage the complete accounting flow for payroll, including recording/reviewing payroll journal entries, taxes, benefits, and employer-related expenses across each entity.
- Reconcile payroll clearing and liability accounts monthly against third-party provider reports and general ledgers.
CPA Relationship & Year-End Tax Support
- Serve as the primary, independent technical contact for external CPA partners (CBIZ), handling day-to-day accounting inquiries without needing ownership intervention.
- Prepare schedules, workpapers, and reconciliations for annual tax return preparation.
- Review CPA-provided year-end adjustments, post journal entries, perform book-to-tax tie-outs, and reconcile prior-year ending balances to current-year opening balances.
Outsourced Firm Transition & Process Improvement
- Lead the operational transition of bookkeeping functions from the current outsourced provider into an internal role, documenting workflows and retaining institutional knowledge.
- Establish internal accounting controls, standardized procedures, and detailed checklists to improve data quality, reduce manual errors, and eliminate single-person dependency.
- Continuously evaluate workflows to implement automation, strengthen audit trails, and ensure accounting systems are scalable for future growth.
Require Qualifications
Accounting Experience
- 5+ years of progressive bookkeeping/accounting experience, ideally within U.S.-based businesses.
- Demonstrated experience operating at a Senior or Full-Charge Bookkeeper level.
- Strong experience independently owning a company's books.
- Significant experience with multi-entity or multi-location accounting.
- Demonstrated experience managing full-cycle bookkeeping.
- Strong understanding of accrual-based accounting.
- Strong working knowledge of U.S. GAAP.
- Experience completing month-end close.
- Experience preparing and posting complex journal entries.
- Strong balance-sheet reconciliation experience.
- Experience working directly with external CPAs/accountants.
- Experience supporting year-end close and tax preparation.
QuickBooks
- Advanced QuickBooks experience is essential.
- Must be comfortable managing multiple QuickBooks company files simultaneously.
- Ability to troubleshoot accounting discrepancies within QuickBooks.
- Ability to maintain clean and consistent general ledgers.
- Experience producing financial statements and accounting reports from QuickBooks.
- QuickBooks Online and/or Desktop experience should be clearly identified during screening depending on the client's current configuration.
Multi-Entity Accounting
Candidates should ideally have previous experience with
- Multiple legal entities or business locations.
- Separate books for different entities.
- Intercompany transactions.
- Due-to/due-from accounts.
- Intercompany reconciliations.
- Holding-company structures.
Technical Accounting Knowledge
Candidates must demonstrate strong knowledge of
- Revenue and expense recognition.
- Balance-sheet reconciliations.
- Month-end and year-end close.
- Financial statement preparation.
Preferred Qualifications
- Bachelor's degree in Accounting, Finance, Business, or a related discipline.
- CPA, CPA-equivalent qualification, or advanced accounting studies are advantageous but not required.
- QuickBooks ProAdvisor certification is advantageous.
- Previous experience supporting U.S.-based companies.
- Previous experience within an outsourced accounting/bookkeeping firm may be particularly valuable.
- Experience managing a portfolio of multiple companies or entities.
- Experience with investor-backed or private-equity-backed businesses is advantageous.
- Experience in multi-location businesses such as automotive services, retail, restaurants, hospitality, franchises, healthcare, or home services.
- Experience supporting a holding-company structure.
- Strong Excel and/or Google Sheets skills.
- Experience creating accounting SOPs and close checklists.
- Experience transitioning bookkeeping from an outsourced provider to an internal function.
